01Policy Overview
We want you to feel confident engaging Legalkarobar.com. This Policy sets out when a refund of our professional fees is available, what happens to government and third-party fees paid on your behalf, and how to raise a refund request. It applies to all Services booked through the Site, by email, or by phone, and forms part of our Terms & Conditions.
Because much of our work involves preparing and filing documents with government Authorities, refund eligibility depends heavily on how far your engagement has progressed at the time you request a cancellation.
02Refund Eligibility by Service
The table below is a general guide. The specific refund terms confirmed in your order confirmation or engagement letter will govern your engagement.
| Stage of Engagement | Our Professional Fees | Government / Third-Party Fees |
| Before we begin any work | Refundable | Refundable |
| Work started, no filing submitted yet | Partial | Refundable |
| Filing submitted to Authority, pending approval | Non-refundable | Non-refundable |
| Filing rejected due to our error | Refundable | Case-by-case |
| Filing rejected due to incorrect client information | Non-refundable | Non-refundable |
| Service successfully completed | Non-refundable | Non-refundable |
Note: "Partial" refunds account for time and resources already spent on drafting, document preparation, or advisory work before a filing was made.
03Government & Third-Party Fees
Many engagements include statutory or third-party costs paid on your behalf, such as Ministry of Corporate Affairs fees, stamp duty, GST portal fees, Hong Kong Companies Registry and Business Registration fees, trademark office fees, or notarisation and courier charges. Once we have remitted these amounts to the relevant Authority or third party, they are generally non-refundable by us, regardless of the outcome of your application, because they are paid onward and are not retained by Legalkarobar.com.
If an Authority itself refunds a fee (for example, following a withdrawn application before processing), we will pass on that refund to you, less any processing charge levied by the Authority.
04Our Professional Fees
Our professional fees cover advisory time, document drafting, review, coordination with Authorities, and account management. Where you cancel before this work has meaningfully begun, our professional fees are refundable in full. Where work has already been carried out, we will deduct a reasonable amount reflecting the work completed before issuing any refund.
Recurring services, such as an annual virtual office, registered office, or mail-handling plan, are refundable on a pro-rata basis for the unused portion of the current term, provided the address has not been used in a live filing that remains active with an Authority. Once your registered address is on file with a regulator (for example, on the Companies Registry or GST portal), the current term's professional fee for that plan is non-refundable, since we remain responsible for statutory mail handling for that period.
05Cancellation Before Work Begins
You may cancel an engagement free of charge, with a full refund of professional fees, at any time before we have started drafting documents, requesting compliance information, or making any payment to an Authority on your behalf. To cancel at this stage, simply notify us in writing using the contact details below.
06Non-Refundable Situations
Refunds are not available where:
- The Service has been completed and delivered as agreed (for example, a certificate of incorporation has been issued, a GST number has been allotted, or a trademark application has been filed);
- A filing has been rejected, delayed, or requires resubmission due to inaccurate, incomplete, or fraudulent information you provided;
- You simply change your mind after government or third-party fees have already been paid on your behalf;
- The delay or outcome is caused by factors outside our control, including Authority processing times, portal downtime, or changes in law;
- You have used the deliverables (for example, actively operated a company or GST registration) before requesting a refund.
